By necessity we have become experts on pandemic teaching. We have learned how to embrace and connect with our students no matter where they may be physically. We have caught glimpses into the lives of our students that we may not have had before this year. We have helped our students process intense issues from isolation, illness and death to protest and civil unrest, all while trying to maintain our own social-emotional and physical health and wellbeing.</p><p style="text-align: left;">As we approach the half-way mark and continue to persevere in this unique and challenging school year, the words of Dr. Martin Luther King, Jr. loom large in my mind.</p><blockquote style="text-align: left;"><p>Education must enable one to sift and weigh evidence, to discern the true from the false, the real from the unreal, and the facts from the fiction. The function of education, therefore, is to teach one to think intensively and to think critically...We must remember that intelligence is not enough. Intelligence plus character–that is the goal of true education. - Dr. Martin Luther King, Jr. - Morehouse College - 1947</p></blockquote><p style="text-align: left;">There are so many lessons we can learn from Dr. King. This year MLK day falls on January 18, 2021. As you plan ahead to next week, take a minute and think about what lessons from Dr. King you can share with your students. How can we bring the passion and purpose he demonstrated over 50 years ago into our classrooms and apply it to the events of today? They shared amazing ideas and resources with the 300+ people attending. Below are two of my take-aways that focus on student engagement and building community.</span></span></p><p style="clear: both; text-align: left;"><span style="font-family: inherit;"><span style="background-color: white; color: #222222;"><b><span class="il">VIRTUAL</span> CLASS JOBS<br /></b></span></span><span style="font-family: inherit;"><span style="background-color: white; color: #222222;">Class jobs help build community and provide students an opportunity to demonstrate responsibility and feel valued in the class. Why not bring the idea of class jobs into the <span class="il">virtual</span> environment? The way this works is that a staff member takes a picture of themself in a mystery location. They then give clues everyday at the beginning of class of where the staff member was located. Creating screencasts with this tool is easy. And best yet, they load right to Google Drive for simple sharing!</p><p>However, this tool (as with many others) may require some tweaking. Let's look at a couple of ways to get better results.</p><h2 style="text-align: left;">Understanding Screencastify</h2><p>In order for Screencastify to record videos in the way it does, it must record using the hardware on the device until the recording is complete. Once the recording has finished, the video is automatically uploaded to Google Drive and removed from the device. This process means that Screencastify will never fill up the hard drive on your device. Of course, it also means that your device has to have enough space available depending on the length of video you intend to record. The best thing you can do is to keep your Chromebook's hard drive clear of any files that are not essential. On the back, they can write Yes/Agree on the top and then flip it over and write No/Disagree on the bottom. </li><li><b>POLL FEATURE IN MEET:</b> Use the<a href="https://support.google.com/meet/answer/10165071?hl=en"> poll feature</a> in Google Meet to have students respond to true and false or multiple choice questions. Teachers give students specific clues or items that they find from their homes or around the larger community. What does that mean? Through some pretty sweet digital vudu, you now have UNLIMITED storage on your desktop and laptop computers. Woot! That means a couple of things, <b>1)</b> you can store any file type there and as you are connected to the network or wifi it will be backed up safely, and <b>2)</b> you may work with your Word and Pointpoint files on your TEC through MS Office, and still have them stored in Google Drive. Yay!</div>

After either STEP 4 or STEP 5, you should now see added to your list of computer drives the Google Drive File Stream (Y:). In that drive, you will see your Google Drive My Drive and Team Drives folder. Moving files there will allow them to live on both your Windows machine and in Google Drive. LET THE SYNC MAGIC HAPPEN!<br />

* Remember, once your teacher station becomes obsolete it will not be replaced. You <b>WILL always have</b> your TEC and your Teacher Chromebook.<br />

TEC Refresh</h2>
A couple of our Portage buildings are receiving upgrades to aging TEC Desktops. Your Building Tech will inform you as to who you are. (If you hear nothing, IT'S NOT YOU! haha)<br />

In order to prepare your computer for the upgrade, we HIGHLY recommend you move ALL your files from your desktop (and My Documents for those who store your files there) to either your U Drive or your Google Drive, perhaps using your new Y DRIVE (if you've taken the time to set up that option).<br />
<br />
Below is a series of steps you might use to begin this move. (Feel free to do this in the manner that best suits you.)<br />
<ol>
<li>Create a New Folder titled "TEC Backup, Spring 2018" or "Desktop Backup 2017-2018" (Use whichever naming convention you wish)</li>
<li>Drag-n-drop all the files and folders you wish to keep into this ONE FOLDER</li>
<li>Open either My Computer (Windows Explorer) or Google Drive</li>
<li>Drag-n-drop your new backup folder to My Drive (either on Google Drive or your Y Drive... or if you have space, your U Drive)</li>
<li>Wait for all files to upload or sync to their new location</li>
<ol>
<li>We recommend doing this earlier in the day to allow time for your files to move</li>
<li>Depending on the number and size of your files, this process could take a few minutes to several. Be prepared to wait for the process to complete, accordingly.</li>
</ol>
<li>Optionally, you may store your files on a flash drive as well if this suits you better.</li>
</ol>

Use whatever system you like to backup your files; the point is to BACK THEM UP. We do not wish to see any of you lose the great work that you have put so much time into creating.</div>

For many of you who will depart from our ranks, it will be important that you are able to take with you some, or all, of the products you have created. Most of these items live in the Google-sphere and you need to know how to pack 'em up and ship 'em out.<br />

So... today's post is about <b>How to Take Your Files Stored in Google With You When You Leave</b>.<br />
<br />
Quickly, let's mention your U Drive files. Simply grab a flash drive or log into your favorite cloud storage service and drag-n-drop or upload those files. Done.<br />

If you happen to be old enough to own (13+), and have created, a personal Gmail account, you may share those files you wish to keep with that account and make copies of those files from within the personal account. By making a copy of those files in <a href="https://www.google.com/drive/" target="_blank">Google Drive</a>, your personal account will then become the owner of those copies. The instructions below will tell you how to share and make copies of your files.</div>

Direct Transfer</h3>

An easier way to copy your files from your School Google account to another Google account is by using Google's Transfer Service. <a href="https://support.google.com/accounts/answer/6386856" target="_blank">Google's Support Document</a> details what you can copy and how to use the service. </div>
<div>
<br />
This service will transfer gmail (not contacts, chats, or tasks) and Google Drive files you own (not Google Photos stored in Drive). Files shared with you can be copied to your new account but must be added to your My Drive first and will not affect the owners of those files.<br />
<ol>
<li>Make sure you have created (or have access to) another Google account</li>
<li>Go to <a href="https://takeout.google.com/transfer" target="_blank">Transfer your content</a></li>
<li>Follow the instructions on the Transfer page</li>
</ol>

Gmail messages are added to a label in Gmail stating the account name and transfer date. Drive files are placed into a folder named similarly.</div>

Note that in order to transfer selected files, you must have enough storage space available in your new account to store transferred files. A personal Gmail account only has 15GB of storage. This amount of space is sufficient for most users. However, you may need to be selective.</div>

Download Your Data (Recommended Minimum)</h3>

Google offers a service for G Suite for Education users that allows users to <a href="https://takeout.google.com/settings/takeout" target="_blank">download an archive of all owned files and data</a>. This service, once called Google Takeout, allows you to export all or any portion of your Google Apps Services (files, emails, videos, etc.) to a compressed file. This compressed file, typically a .Zip file, can then be uploaded to another online cloud storage service or saved onto a USB flash storage device (flash drive, usb stick, etc.).<br />

A couple of helpful tips!<br />

1) Services with an arrow next to the selection slider at the right, will allow you to choose how you would like your data downloaded. As with Contacts in the image below, you might wish to choose a CSV file, so that you could easily import your contacts into a spreadsheet.<br />

One of the new things you can do with your emails is hit the "snooze" button. What this allows you to do is postpone emails to a future date or time that's more convenient for you. No need to remember to go back to the email, simply have it reappear in your inbox when you are ready to take action on it. <br />

<span style="font-size: large;">Open attachments right from the inbox</span></h4>
<div>
Now you can see and click attachments in your inbox before ever opening a thread. This is great when you the attachment is one you are expecting or have already reviewed the message and need to go back to the attachment at a later time. NOTE: Never open an attachment that you are not expecting, or from someone you don't know. </div>

<span style="font-size: large;">Suggested Replies</span></h4>
</div>
<div>
If you are using the Gmail app on your smartphone, then you have probably already seen, and maybe used, smart replies. This feature suggests possible replies to emails. Things like "Thank you!" or "Yes, that will work for me." are frequently suggested replies. I enjoy using this feature because it cuts down on the time it takes to type up those common phrases that I often use at the start of an email.</div>

View Calendar, Tasks, and Keep from Gmail</span></h4>

I LOVE THIS!!!! This was the game changer for me. </div>

The changes in Google Drive are more cosmetic than functional. Here is a list of the updates from Google:<br />

<li>The “New” button has been updated. Instead of being a blue rectangle, it is a white rounded corner button.</li>
<li>The logo in the top left has been changed to the Google Drive logo.</li>
<li>The Settings icon has been moved in line with the search bar.</li>
<li>The Help Center icon has been moved in line with the search bar.</li>
<li>The page background is now white, not gray.</li>
<li>The font used for headers has been changed. </li>

Second, let’s talk about Archiving Classrooms. Archiving a Class helps in two ways, 1) it will clean up your tiles and 2) it will clean up tiles for your students.</div>

<b>Why would we archive a class? </b></div>

Archiving a class allows you to preserve the important work accomplished in that class while removing its tile from your home screen. (Yay! You mean I get to keep and reuse all my work without losing anything? Basically, I'm moving a class from active to inactive? Yep!) </div>

Note that all archived classes can be restored to active at any time.</div>
<div>

<div>
So, for a teacher, that means fewer tiles to organize or move around. For a student, when a teacher archives a class, that class is also removed from his/her home screen. Whew! Less clutter! Students can still access the materials and any past work, but cannot change anything, just like a teacher.</div>

Setting up accounts, and deciding what passwords to use for students on outside sites can also be a challenge. We know we should be using <a href="https://ppstechtraining.blogspot.com/2017/02/security-strong-passwords-safer-data.html" target="_blank">strong password protocols</a>, but we also need students to be able to remember the passwords and be able to get into the sites in a timely way. Whenever you can find a site with the “Login with Google” button, that is the best bet. However, even though we all love the "Login with Google" button for its ease and security, that isn't always an option. So, what do we do?<br />
<br />
<b>Use a password that is NOT their PPS password. </b><br />
Why? Students' PPS passwords should not be <br />

shared, even with other websites. Students' passwords are the keys to all their personal data within Skyward, our PPS network, and Google. By entering their PPS passwords on sites outside of PPS, you are giving that outside website the keys to access that data. This is a big no-no. Now, if you have already done this, don't feel bad. I too have made this mistake in the past, before I realized what an issue this can be, and have had to correct my misstep. It is never too late to solve the problem.<br />
<br />
<b>Create a naming convention that works for you and your students. </b><br />
As our elementary teachers know from our IXL or Lexia passwords, the passwords for our outside sites don't have to be crazy and confusing, especially if no student data is being collected. A few good tips include making sure you don’t use personal information in the passwords. Find a naming convention that will be easy for you and your students to remember, such as using the first letter of the words of the chorus of a song or the first letters of the pledge of allegiance (ipattfotusoa), or something special to the students in your class. Another option is to come up with a storage solution, like a <a href="https://docs.google.com/spreadsheets/d/1zXh9AZ8PJDZbdla90hwJjG3rXNR5Bh-LVl1-QGk1ADY/edit?usp=sharing" target="_blank">Google Sheet</a> shared via Google Classroom (make a copy for each student) where they can easily access their non-PPS passwords.<br />

<b>Still unsure about what to do? Start here...</b><br />
1) Make sure you are not using students' PPS passwords on sites other than Skyward and Google.<br />
2) If you are, reset the passwords using the suggestions above.<br />
